Dormitory Director
The Summer Ballet Program Dormitory Director (DD) is responsible for the operation and supervision of a Residence Hall and related programs for students in the Summer Ballet Program. The DD reports directly to the Residence Director (RD) and the CPYB Executive Director. The DD assists the RD in supporting all staff in their functions, supports and enforces Summer Ballet Program and College rules and policies, reports serious infractions to the RD and CPYB Executive Director, and directly supervises the Resident Advisors (RAs) in their buildings. The Dorm Director and his/her staff cooperate to provide the best possible residence experience for students living on the Dickinson College campus.
Following are the expectations of a Dormitory Director:
Staff Supervision
- Supervises a dorm of RAs and students.
- Supports and guides all RAs, supports the staff decisions and makes recommendations for further actions.
- Conducts at least two regular staff meetings per week for their dorm, attends staff meetings of other dorms and attends Sunday Directors’ Staff Meeting
- Meets individually with each staff member at least once a week and touches base with all staff daily.
- Keeps records of staff members’ job performances for the purpose of completing employee evaluations.
- Supervises the RA–on–Duty in his/her duties.
- Aids the RD in conducting staff training.
Residence Hall Operation
- Works with the RAs to open and close the residence hall.
- Sees that the dormitory is left clean and in better condition than when received from the college.
- Oversees the RA’s implementation, supervision and support of staff/student check-in/-out procedures and reports late arrivals and early departures to the RD.
- Works with the RD to handle residence hall or campus disciplinary situations and documents them for reference.
- Assists with hall/floor meetings and activities when needed.
- Coordinates transportation for activities with the RD and oversees usage of the vans.
- Works with the CPYB Nurse and the Dickinson Health Center to coordinate students’ transportation to medical appointments and the Emergency Room at Carlisle Hospital.
- Sees that students who are ill receive medical care and are confined to their rooms.
- Contacts parents as appropriate.
- Oversees distribution and collection of dormitory keys.
- Oversees roommate compatibility and arranges room changes if necessary.
General Administrative Tasks
- Compiles suggestions and recommendations concerning the Summer Ballet Program for the RD.
- Informs the RD of all safety, security, maintenance, damage and personnel problems.
- Reviews RA Log Books and Sick Call Books daily.
- Keeps and maintains accurate records on residence hall expenditures, activities and occurrences.
- Prepares reports, surveys and correspondence as requested.
- Assists the RD in preparing employee evaluations.
- Leads staff in scheduling RA-on-Duty shifts.
- Reports maintenance concerns to the Conference Office and follows-up on completed maintenance.
- Ensures that mail is distributed in a timely manner
Activities Coordinator
- Aids the RD in the implementation and planning of all Campus-Wide activities and the coordination of activities
- (Campus, Dorm and Floor).
- Supervises their Dorm in planning Dorm-Wide activities.
- Supervises and coordinates their Dorm in Floor activities.
- Oversees budget and dormitory spending.
Liaison
- In conjunction with the RD and when appropriate, serves as liaison with College offices.
- Meets and talks with parents when appropriate.
- Acts as a liaison between residence hall staff, students and the RD.
Resident Advisor
The Resident Advisor (RA) assists the Dorm Director with the supervision and operation of a Residence Hall and related programs for students in the Summer Ballet Program. The RA is responsible to the DD, the RD and the CPYB Executive Director. The RA supports and enforces Summer Ballet Program and College rules and policies, and reports serious infractions to the appropriate DD. The RA cooperates with other Summer Ballet Program staff to provide the best possible residence experience for students living on the Dickinson College campus.
Student Supervision
- Directly supervises a floor of 12 to 21 residents providing care, guidance and support to the residents on a daily and as-needed basis. Also provides supervision and care to the Dormitory and CPYB Community as a whole.
- Assesses residents’ health and well-being on a daily basis and deals with appropriately.
- Is aware of residents’ eating habits, general nutrition and class attendance.
- Is familiar with the confidential Special Needs List for the residents on floor and aware of the major needs throughout Campus.
- Is responsible for making all Health Center appointments for their own residents.
- Actively engages all residents and program students in conversation with special attention paid to those who may be shy, introverted or otherwise left out.
- Interacts with all floor members daily and provides opportunities to further interactions and discussions.
- Is never alone with a resident in a vehicle, enclosed area or distanced from others. If you are to speak with a resident in private, do so in a public space visible to others, in your or the resident’s room with the door open, in the CPYB conference office or Dormitory Director’s room. Another RA does not count as another person with the exception of members of the CPYB Staff, CPYB Faculty or members of the Director Staff.
- Is responsible for Co-RA’s residents if he/she has the night off.
Residence Hall Operations
- Serves as RA–on–Duty when assigned and assists with organizing and maintaining RA office.
- Works with Assistant Dorm Director to inspect rooms for cleanliness and damages every Sunday morning.
- Submits requests for maintenance and follows up on requests.
- Assists with implementing student check-in/-out procedures.
- Transports students in program vehicles or personal vehicles as necessary.
- Works with the CPYB Nurse and the Dickinson Health Center to coordinate students’ transportation to medical appointments and the Emergency Room at Carlisle Hospital.
- Sees that students who are ill receive medical care and are confined to their rooms.
General Administrative Tasks
- Attends and participates in staff training the week prior to the program start date.
- Works with the Dormitory Director and Assistant Dormitory Director to implement a staff time-off schedule and duty schedule following the rules and guidelines discussed in training and in this manual.
- Informs the Dorm Director of all safety, security, maintenance, damage and personnel problems.
- Keeps accurate and detailed daily records of RA Log Books and Sick Call Books.
- Participates in all staff meetings for their Dormitory (Monday, Wednesday and some Fridays for Adams; Tuesday, Thursday and some Saturdays for Drayer).
- Meets individually with the Dorm Director at least once a week
- Sorts and distributes mail and packages to Residence Halls by 5:00 p.m. each day.
- Delivers mail, memos and paperwork to the Warehouse.
- May not switch on-duty shifts without appropriate DD approval. If a shift is switched, make sure the desk is not left unattended.
Activities
- Is responsible for actively and enthusiastically participating in all activities and encourages residents to do so.
- Plans at least five activities for own residents and at least five activities with co-RA.
- Serves on specific Activity Planning Committee(s) to organize, plan and execute Dorm and/or Campus-Wide activities.
